How AI Lead Reactivation Works
Short answer
Lead reactivation contacts old enquiries and past customers already in your database with a conversational message, and uses AI to handle every reply — answering questions, re-qualifying and booking appointments. Because these people already know your business, it is usually the cheapest source of appointments available to you.
Segment before you send
Sending the same message to everyone in a database is the fastest way to waste a good list. Segment first, at minimum by: how they originally enquired, what they wanted, how long ago, and whether they became a customer.
Those segments deserve genuinely different messages. Someone who bought two years ago and might buy again is a different conversation from someone who asked for a quote and went elsewhere.
Write a question, not a promotion
The message that works is short and asks something. "Hi Maria — you asked us about a new AC unit back in March. Is that something you're still looking at, or should I close it off?" gets replies. A discount announcement does not, because it reads as marketing and marketing gets ignored.
The close-out framing — offering to remove them from your list — is particularly effective, because it is genuinely useful to the recipient and it makes replying easy either way.
Send in batches
- Start with a test batch of 50 to 100 contacts from your best segment.
- Watch reply rate, opt-out rate and, most importantly, the quality of the replies.
- Adjust the wording based on what people actually said.
- Scale up in batches your team and phone system can handle.
- Never send to the whole database at once — you will get a flood of replies you cannot answer, which is worse than not sending at all.
Handling the replies
This is where AI earns its place. A reactivation campaign generates three kinds of reply: ready now, not now, and stop contacting me. The AI books the first, records a follow-up date for the second, and processes the third immediately and permanently. Anything unusual routes to a person with the full history attached.
Without automated reply handling, a reactivation campaign creates a workload your team cannot absorb, and the leads you generated go stale for a second time.
Consent and opt-out
Contact people you have a proper basis to contact, honour opt-outs immediately and permanently, and keep records of both. Rules for automated messaging vary by jurisdiction and by the kind of message, and they change — confirm what applies to your business with your own advisor rather than relying on a platform's defaults.
