AI Automation for Miami Medical Practices

Front desks are overwhelmed. Most of what overwhelms them is repeatable.

In short

Medical practices use automation to take pressure off the front desk: answering new patient calls that would otherwise go to hold or voicemail, booking and confirming appointments, sending reminders, and handling routine questions about hours, location, insurance acceptance and what to bring — in English and Spanish.

The Problem

What this industry loses enquiries to

These are the patterns we see repeatedly in medical practices across Miami-Dade and Broward.

  • Phones ring constantly while staff are checking patients in.
  • New patient calls go to hold, and new patients don't wait on hold.
  • No-shows leave gaps that could have gone to someone on a waiting list.
  • The same questions — hours, address, do you take my plan, what do I bring — repeat all day.
  • Recall and follow-up appointments are chased manually, if at all.
  • Spanish-speaking patients wait for a bilingual staff member to be free.

Workflow Example

This is the sequence we build for this industry. Yours will differ in the details — that's what the audit is for.

What We Build

The automations that matter most here

Usually in this order, because the first one tends to pay for the rest.

Questions

Questions from medical practices

Is this HIPAA compliant?

We do not claim HIPAA compliance, and you should not assume it. Many practices start by automating only non-clinical, non-PHI interactions — hours, directions, plans accepted, general scheduling. If your use case involves protected health information, raise it in the audit and we will scope what can be done appropriately, including what would need to change first.

Can it give medical advice?

No, and it is configured not to try. Clinical questions are routed to your staff.

Can it triage urgent calls?

It can recognise the keywords and situations you define and escalate immediately, but it does not perform clinical triage. Emergency instructions are given as you script them.

Will it work with our practice management system?

It depends on the system. Some connect directly, others through an integration layer, and a few not at all — we confirm before promising anything.

Can patients still reach a human?

Always. That route is never removed.
